AI Agents for Documents

AI Document Processing Agents That Read, Check and Draft

Expedey builds AI agents for document-heavy work. They read RFPs, contracts and scanned PDFs, extract what matters, check it against your rules and draft the next document for a person to approve.

We run this in production: a multi-agent pipeline that reads government solicitation packages, including scanned files, extracts every requirement, compares them with the bidder's company profile and drafts proposal sections.

What a Document Agent Does

Each step is a separate, testable part of the pipeline, so you can see where a result came from and fix the step that got it wrong.

How We Make Document Agents Reliable

Extraction that's right most of the time isn't good enough when a missed requirement loses a bid. This is the harness around the model.

OCR only as a fallback

Text is read directly when the file has it; OCR runs only on pages without a text layer, which keeps results fast and accurate.

Map, then reduce

Extract from each chunk separately, then merge once. Every model call sees a manageable amount of text.

Validated output

Every extraction is checked against a schema, so a malformed result is caught at the step that produced it, not three steps later.

Evaluations on your documents

A test set of your real documents with the expected results, scored on every prompt or model change.

People where it matters

Uncertain or high-impact items go to a person for review before anything is sent or submitted.

Tracing and cost per document

Each run records what was read, what each step returned, and what it cost, so problems can be traced to one step.

Document AI We Have Shipped

Client names are withheld under NDA. On a call we can walk you through the architecture and, where the client agrees, introduce you to them.

Multi-agent RFP analysis and proposal drafting

Built for: A government-contracting software platform

Bid teams spend days reading solicitation packages. We built a LangGraph pipeline in which specialised agents download the documents (PDF, Word and scanned files via OCR), extract every requirement chunk by chunk, merge and de-duplicate them, compare them with the bidder's company profile to turn gaps into clarifying questions, and draft proposal sections.

RAG proposal and catalog generator

Built for: A B2B services business

A conversational assistant that gathers project details through chat and forms, retrieves relevant past work from a vector index, and generates tailored proposals or product catalogs.

How an AI Agent Project Runs

  1. 01

    Scoping call

We pick one workflow with a clear owner, a measurable outcome and data we can access. If an agent is the wrong tool, we say so.

  2. 02

    Pilot on your data

Usually 2–4 weeks. A working agent on real examples, read-only where possible, plus an evaluation set that defines what good looks like.

  3. 03

    Hardening

Integrations, permissions, approval steps, failure handling and monitoring, tested against the evaluation set.

  4. 04

    Production launch

A staged rollout: shadow mode first, then a share of real traffic, then full volume once the numbers hold.

  5. 05

    Run and improve

Ongoing monitoring, re-evaluation when models change, and new tools or workflows as the agent earns trust.

Have Documents an Agent Should Read?

AI Document Processing: Frequently Asked Questions

What is an AI document processing agent?

An AI document processing agent is software that uses a large language model to read documents, extract structured information, check it against rules and take the next step, such as drafting a reply or flagging a gap. Unlike template-based extraction, it handles documents whose layout and wording vary.

Can AI agents read scanned PDFs?

Yes. Pages without a text layer go through OCR first, and the agent works on the resulting text. Accuracy depends on scan quality, so we measure it on a sample of your own documents before launch.

How accurate is AI document extraction?

It depends on the documents and the fields. We don't quote a general figure: we build an evaluation set from your real documents, measure accuracy on it before launch, and send low-confidence items to a person.

How is this different from OCR or traditional document capture software?

OCR turns images into text, and traditional capture tools extract fields from fixed layouts. An LLM-based agent can handle varied layouts, understand requirements written in prose, compare them with your rules and draft the next document. It also needs evaluations and review steps, which we build in.

How much does an AI document processing agent cost?

A pilot on one document workflow starts at $5,000 and usually takes 2–4 weeks. Production cost depends on the formats, volumes and integrations involved.

Is our document data safe?

We use model providers' business API tiers, which do not train on your data by default, can redact personal data before it reaches a model, and can deploy the system in your own cloud account.
